JOB DESCRIPTION

JOB TITLE: SEND ADMINISTRATION ASSISTANT

GRADE: D

HOURS: 37 HOURS PER WEEK, TERM TIME PLUS 5 DAYS

RESPONSIBLE TO: SENDCO/ ASSISTANT SENDCO

JOB PURPOSE: To work as part of the SEND team in supporting the Academy in attaining


MAIN DUTIES:

Answering enquires, typing, sending letters and reports to parents/outside agencies. (To respond to enquiries and contacts and to provide courteous advice, accurate and reliable information to support staff, pupils, parents, agencies and the public)

Dealing with situations of a sensitive nature in a professional and discreet manner

Manage up to date record keeping as directed by the SENDCo, including upkeeping of the SEND register

To communicate effectively with parents, carers and other professionals (all staff and outside agencies) via telephone and email

Carry out all related administrative duties as directed by the SENDCO, including taking minutes at meetings, updating student files and updating records, document and report preparation, storage and retrieval

Producing timetabling of support for Teaching Assistant’s and day to day organisation of the SEND department personnel under guidance from the SENDCo

Maintain up to date records in relation to the management information system, SIMs, and the provision map/pupil passport system in place. To ensure updated information is shared effectively across school

Assisting with ordering office supplies and SEND resources for the department

To provide the administrative support for applications for Education and Health Care Plans (EHCP)or referrals to outside agencies (as appropriate)

To prepare and collate all relevant paperwork/ invitations/room bookings etc ahead of annual reviews

Assist and help set up the organisation of Parent/ Carer and Student Tours and Transition Days

OTHER RESPONSIBILITIES:

To ensure all duties and responsibilities are discharged in accordance with the Academy’s health and safety at work policy

To participate in the Academy’s appraisal system and procedures, ensuring that performance standards and targets are set and met within the agreed timescale

Any other reasonable duties as commensurate with the grading of the post

Ensure confidentiality at all times

To be aware of Health and Safety and adopt best practice in this respect at all times

To be responsible for safeguarding and promoting the welfare of pupils
